Be aware that the following Terms and Conditions are not for UVA program participants. UVA participants on ICLC program are subject to UVA terms and conditions.
Each participant to ICLC Programs and requesting ICLC
services in
Alajuela, Costa Rica will pay in the home
country (before departure to Costa Rica),
medical
insurance for emergencies and evacuation or
repatriation of remains.
Cancellation and postponements policies:
The following cancellation and postponement policies
must be respected and will be effective once ICLC
receives registration form through e-mail or
regular mail:
-
No refund is granted once the student arrives to the
international airport in Costa Rica.
-
Participants can not alter or change dates or
services included in the Language Program or Host
Family Program, once the
participant arrives to the international airport in
Costa Rica (SJO).
-
All cancellations and postponements of the Language
Program of individual participants already registered will have
the following penalization: US$200
-
All cancellations and postponements of the Language
Program for groups already registered will have the
following penalization: 25% of the total Language
Program fee agreed.

In case of cancellation of trips and excursions, no
refund is granted. In specific cases of
cancellations or postponements due to an emergency,
the participant must present a letter explaining the
specific case. ICLC will follow and respect
cancellation policies and final decisions made for
the tour operator or the provider contracted to
supply the service requested.

All cancellations and postponements
for registered individuals or for registered groups
in the
Host Family
Program only, will have
the following penalization:
- 14 days or more before
arrival:
25%
-
7 to 13 days before arrival:
50%
- Less than 6 days before
arrival: no refund.
How to apply for a credit note, in case of cancellation
or postponement:
Cancellations or postponements due to serious health
situations -or other grave situations- will be evaluated
to apply for a credit note, after presenting a letter
explaining the specific case. In case of a health
situation doctor’s certification must be presented.
Credit notes are evaluated for credit in the Language
Program only, and not for other services requested like
host family accommodation or trips.
Credit notes are valid for a maximum of one year, after
date of cancellation or postponement.
In
regards to Costa Rican holidays:
Local holidays are to be observed accordingly and no
work is required to be performed on these days: New
Year's Day (January 1st); Juan Santamaria's Day (Costa
Rican National Hero - April 11th); Holy Week
(different dates every year), Labor Day (May 1st);
Annexation of the Province of Guanacaste (July 25th);
Virgin of Los Angeles Day, honouring St. Mary, Patron
Saint of Costa Rica (August 2nd); Mother's Day (August
15th); Independence Day (September 15th); Meeting Among
Cultures Day (October 12th); Christmas (December 25th).
There is neither compensation nor refund concerning
these days.
In regards to Costa Rican exchange rate:
If
the exchange rate for a US Dollar falls below 580 Colones before the starting day of the program
requested, ICLC reserves the right to increase the price
to the participant by the percentage of the exchange
rate decrease, to compensate for the fixed program
costs.
Institution’s commitment:
If
a change of plans in regards to schedule of Spanish
Classes, specific studies or excursions occurs, ICLC
will either plan another schedule, excursion or the
student will be compensated with the amount corresponded
to that activity.
Participant’s commitments:

I am well aware of the fact that no refunds will be
given if I decide to quit the Language Program and
other services requested.

I am well aware of the fact that any accident that
may take place and any injury that I may suffer in
Costa Rica will be exclusively part of my
responsibility. Under no circumstance whatsoever
will I make ICLC liable for any damages because I
understand that I must have
medical insurance for
emergencies and for medical evacuation and
repatriation of remains.
Important note:
Should it be necessary to enforce the terms, conditions
and policies of this agreement by any means (including,
but not limited to arbitration, negotiation or the
necessity of any legal action), the prevailing party in
such action shall be controlled and submitted to the
Costa Rican law.
I
understand that any form submitted to ICLC has a
reference to this document, I truly assure that I read,
understood and I agree with terms and conditions
specified above.
